JOB DESCRIPTIONS FOR CLERK OF COURSE WORKERS

 

HEAD CLERK OF COURSE: works in the Clerk of Course Pavilion. Keeps the meet flowing smoothly by moving swimmers swiftly from the Pavilion to the pool. Insures that every swimmer is lined up in Clerk of Course Pavilion with a white card before proceeding to poolside. Wears a headset to communicate with ANNOUNCER for calling events. Makes certain that each event has 3 calls. Communicates with ASSISTANT CLERK OF COURSE/POOLSIDE to send heats of swimmers from the Pavilion to the pool. Informs CARD SORTER, YELLER, SEATERS, and GUIDES of their assignments and assists them to keep the meet moving.

 

ASSISTANT CLERK OF COURSE/POOLSIDE: works poolside. Insures that every swimmer swims in the right event, heat, and lane. Works with SPOTTERS on both sides of the pool to insure swimmers are in the right place. Wears headset to communicate with HEAD CLERK OF COURSE calling for heats of swimmers to be brought poolside. Informs RUNNERS of assignments, checks for glitches poolside, and notifies Computer Chair of any problems with swimmers in the wrong lane, heat, or event. Works with Head Referee and Computer Chair to help place kids who miss their swim.

 

CARD SORTER: works in the Clerk of Course Pavilion. This worker takes white cards for the swimmers from the card boxes and spreads them out on the table by heat in lane order for the YELLER to read names. The cards are sorted prior to Meet Day, paper clipped in Heat packets, rubber-banded in Event packets, and placed in card boxes. This worker must keep the cards in order and ready for use by the YELLER. This worker also takes white cards for the relay events from the coaches as they are delivered to the Pavilion. As the relay cards are delivered to the Pavilion, this worker will check them off on the Relay Card Checklist provided by the Computer Chair. The relay cards are then sorted by event, heat, and lane. The cards are paper clipped by heat, rubber-banded by event, and placed in a card box until needed by the YELLER.

 

Note: On Saturday, the relay events will have duplicate cards for each relay team. One card is given to relay swimmers 1 and 3 who line up on the block side of the pool. The duplicate card is given to relay swimmers 2 and 4 who line up on the street side of the pool.

 

YELLER: works in the Clerk of Course Pavilion. This worker uses a megaphone and calls names from white cards that the CARD SORTER spreads out on a table by heat in lane order. The white cards are handed to the swimmers. This worker must keep the process flowing smoothly while giving commands to many swimmers, parents, and coaches at the same time. See note above about duplicate relay cards on Saturday.

 

SHEET DISTRIBUTOR: works poolside and in Timing Tent. This worker takes colored timer lane sheets from the file box at the timing tent and gives to TIMERS, checking event and lane, to be sure the correct sheet goes to the correct lane in order by event. Sheets are handed out at the beginning of the event. After the new event sheets are handed out, the previous event’s sheets are collected from the timers, brought to the timing tent, placed in order by lane, stapled, and placed in the event envelope. After each heat, the sheet distributor uses the scissors to cut off the printed results for the heat from the OmniSport 2000 timing console. The heat results paper tape is given to the TIMER’S ASSISTANT in the Timing Tent. This worker assists TIMER’S ASSISTANT with sorting slips as needed.

 

TIMER’S ASSISTANT: works in Timing Tent. This worker takes heat results on paper tape from the SHEET DISTRIBUTOR and places them in order by heat. The worker also takes 2 finish slips from RUNNER 1 and sorts them by heat. The heat results tape and the 2 finish slips are matched by heat and stapled together with the results tape on top. The stapled slips are placed in numerical order by heat, paper clipped together, and placed in the event envelope. This worker also takes DQ slips from the RUNNER DQ and matches them up by event and heat and staples them to the bottom of the stack with the results tape and finish judge slips. Any stack of slips for a heat that has a DQ slip attached, is handed to the COMPUTER OPERATOR. During relays, this worker takes jump judge slips (4 on Saturday, 2 on Sunday per heat) from RUNNER 1 and/or RUNNER DQ. The 2 or 4 jump judge slips are matched together by event and heat and stapled to the back of the finish slips by heat. Jump judge slips marked with an X indicate a DQ. Any stack of slips for a heat that has a DQ from a jump judge slip is handed to the COMPUTER OPERATOR.

 

RUNNER 1: works poolside running from the finish side [blocks] to the TIMER’S ASSISTANT table in the Timing Tent. This worker gets finish slips from 2 FINISH JUDGES after each heat is over and takes them to the table Timing Tent. During relays, this worker also picks up jump judge slips from 2 JUMP JUDGES on the finish side. Jump judge slips go with finish slips to the Timing Tent.

 

RUNNER 2: works poolside and in the scoring room upstairs. This worker stands in front of the Timing Tent to keep people from talking to the COMPUTER OPERATORS. When an event is complete, this runner goes upstairs to scoring room to get a printout for posting on the wall. If any records are broken, this person takes an extra printout to the announcer to announce the record breaker. When ribbon labels are available, this runner takes them from the scoring room located upstairs down to the ribbon room.

 

RUNNER 3: works poolside. This runner looks at the individual white cards that the swimmers are holding. The runner looks only at the cards of the swimmers sitting in the last set of chairs (closest to starting blocks). The runner compares the white card to the timer’s lane sheet being held by the SCRIBE in each lane to make sure that the event, heat, lane, and swimmer name are correct. Runner 3 then collects the white cards and discards them in a box.

 

RUNNER DQ: works poolside. This runner watches 4 STROKE & TURN officials and JUMP JUDGES (only during relays) for raised hand signal that a swimmer is disqualified. This worker must pick up DQ slips, obtain a REFEREE’s signature, and give signed slips to the TIMER’S ASSISTANT at the table in the Timing Tent. RUNNER 1 will collect jump judge slips on the finish side if no Referee signature is required. This means Runner DQ will only have to collect jump judge slips from the street side of the pool on Saturday. There are no Jump Judges on the street side of the pool on Sunday.

 

SPOTTER: 4 per shift Saturday - 2 at each end of the pool. 2 per shift Sunday. This person works pool side to make sure swimmers are in correct row and chair, checks white cards constantly, which indicate event, heat, and lane assignment; will move swimmers up to next chair as each heat leaves the starting block. Always remember to leave an empty chair where there is a “SCRATCH” or “NO SHOW”. Marshals are assigned to keep coaches and spectators out of the swimmer seating area, but Spotters can also ask any of these extra people to leave the area to minimize the confusion for the swimmers.

 

GUIDES: 4 per shift Saturday only - (more for relays); these workers can be older swimmers as well as adults. Guides work pavilion to pool side, leading young swimmers to correct side of the pool (far side for 25 yd. events and near side for 50 yd. events); Guides hand swimmers over to SPOTTERS and return to Clerk of Course pavilion for another group. Guides will be given a rope for the swimmers to hold onto as they walk from the pavilion to the pool. Hanging onto the rope helps the swimmers stay in place.

 

PROCEDURE FOR SATURDAY RELAYS: The GUIDES should take swimmers 1 &3 to the near side (block side) of the pool and swimmers 2 & 4 to the far side (street side) of the pool.

 

SEATERS: 3 per shift Saturday only (more for relays). The SEATERS work under the Clerk of Course pavilion and may also be older swimmers who understand the order of the day. They take the swimmers after the YELLER gives them white cards and lead them to the correct seat. They constantly must ask swimmer’s name and compare it to the white card, especially for relays, to insure that the swimmers are sitting in the correct seat by heat and lane.
